Behind the Scenes of a Room Flip: What Really Happens at St. Louis Weddings

 

For many St. Louis weddings, the ceremony and reception take place in the same room. It’s a beautiful, intimate choice, but it also creates one of the most time‑sensitive transitions of the entire day: the room flip. 

Couples see the magic. Behind the scenes, vendor teams see a choreographed race against the clock.

A room flip is far more than moving furniture. It’s a coordinated transformation that must happen quickly and accurately, often in under 60 minutes, while your photographer captures every detail before guests re‑enter. As your trusted florist and décor team, we want to demystify how this works and explain why labor plays such a significant role in the process.

Ceremony Breakdown: Clearing the Space for Reception Setup

Once your ceremony ends, guests need time to exit and head to cocktail hour in a different event space. It usually takes 15–20 minutes to get them fully recessed out of the ceremony setup.

During this time, the venue team begins breaking down ceremony chairs, removing floral pieces, arch installations, and décor. Only when the space is fully clear of guests can reception tables be moved into place and styled.

 

A backdrop divide is used to hide preset (as much as possible) tables in the same ballroom as your ceremony. You and your guests only see the beautifully arranged ceremony setup.

After the ceremony, your guests go to cocktail hour. Teams then stack chairs, remove the backdrop, place tables, water, preset salads, larger florals, and light candles. Band or DJ starts their setup along with cake/dessert displays.

 

Reception Setup: Installing Wedding Flowers and Decor in 45-60 Minutes

When the space is ready, the real sprint begins. Tables must be placed, linens draped, place settings styled, and your wedding flowers and décor installed flawlessly, usually in less than an hour.

Some items can be pre-set before the ceremony, like low candles or simple table elements.  But anything tall, breakable, water‑filled, or delicate like tall floral centerpieces, glass hurricanes, or elevated arrangements—must be added after tables are moved into place for safety and stability. That leaves roughly 20-30 minutes for the most detailed work.

 
 

Why St. Louis Couples Should Consider a First Look

A first look keeps post‑ceremony portraits out of the ceremony space, giving vendors the full flip window to work. It protects your timeline, preserves your guest experience, and ensures your room is completely photo-ready.

The wedding day does go by so quickly, that a first look gives couples more time together on the wedding day, and means that you can even enjoy cocktail hour with your guests. Truly a win-win!

 
 

Your Photographer Needs a Clear Room Too

If room detail photographs, like the beautiful ones above, are important to you, photographic time needs to be factored into the room flip time as well. Once the flip is complete (usually down to the minute), your photographer needs some alone time to capture the reception details, especially your floral installations, tablescapes, and personal touches. This is also a fabulous time to schedule a “Room Reveal” with your photographer so that you get to have some photos taken in the reception area, and gives you time to soak in all those beautiful details!

Even if you have a team of multiple photographers, at least one of them still needs time to be in the room to test lighting and capture all those thoughtful details you planned.

This is a 10/10 recommendation by all of our couples who got to enjoy a room reveal. You and your parents had many months of design and planning meetings, late night talks about wedding details, etc. that it is truly wonderful to see it all come together in a few quiet moments before guests enter.

 
 

Why Labor Costs Are Higher for a Wedding Room Flip

A fast room flip requires far more staff on-site. Your floral and décor teams, planners, and catering staff must all stay through the ceremony and be ready to begin instantly. Instead of several hours of setup, everything must happen simultaneously in a concentrated 45-60 minutes.
